Privacy Policy

What we collect, what we do not, and how your practice's financial records are handled.

The short version
  • This website has no contact form, no analytics, no advertising pixels, and sets no cookies of its own.
  • The calculators run entirely in your browser. Nothing you type is sent anywhere or saved.
  • Every free resource downloads without an email address.
  • Client financial records are used to do the bookkeeping you hired us for and for nothing else.
  • We do not sell, rent, or trade information about anyone, ever.

DPC Bookkeeper LLC operates dpcbookkeeper.com and provides bookkeeping and financial advisory services to Direct Primary Care practices. This policy explains what information we handle and why.

Effective 10 August 2026. This policy covers two different groups of people, and it is worth knowing which one you are. Website visitors are covered in sections one through five. Clients are covered in sections six through eleven.

1. What this website collects

Directly, nothing.

There is no contact form on this site. There is no newsletter signup, no gated download, and no field anywhere that sends what you type to us. We do not run Google Analytics, Meta pixels, session recording, heat mapping, or any other analytics tool. We do not set cookies. We do not use browser storage to remember you between visits.

We do not know who you are when you read this page, and we have built the site so that we cannot find out.

2. What third parties see

Being honest about this matters more than claiming perfection. Loading any web page means your browser contacts servers, and those servers see your IP address and browser type as a technical necessity of delivering the page. On this site, that means:

Our host

The site is served by Cloudflare Pages. Cloudflare processes each request and keeps standard server logs, which include IP addresses, for security and abuse prevention. We do not use those logs to build a profile of you and we do not connect them to any other information.

Fonts, styles, and images

Three services deliver parts of every page: Google Fonts and Fontshare supply the two typefaces, a content delivery network supplies the stylesheet framework, and an image host supplies the logo and photographs. Each receives your IP address when your browser requests the file. None of them receives any information about you from us, because we have none to give.

If avoiding those requests matters to you, the pages remain readable with them blocked. Only the appearance changes.

3. The calculators

Every calculator on this site runs entirely inside your browser using JavaScript. The numbers you enter are never transmitted to us, never written to a server, and never saved. Close the tab and they are gone. We could not retrieve what you entered even if you asked us to.

This is why the calculators produce a result without asking for an email address first.

4. Scheduling a call

The Apply button links out to Calendly, a scheduling service. Clicking it takes you to Calendly's own site, and anything you enter there is collected by Calendly under their privacy policy rather than ours. When you complete a booking, we receive your name, email address, and whatever you wrote in the booking questions.

We use that information to prepare for and hold the call. If we do not end up working together, we keep it only long enough to follow up once, and we delete it on request.

5. Email and phone

If you email or call us, we have whatever you chose to tell us. We keep business correspondence as a normal business record. We do not add you to a mailing list because we do not have one.

6. Information we receive from clients

This is the part that carries real weight, and it is the reason the rest of the policy exists.

Doing the books for a practice means we receive:

  • Bank and credit card transaction activity, statements, and reconciliation reports
  • Membership platform and payment processor payout reports
  • Payroll registers, provider compensation detail, and related filings
  • Vendor invoices, bills, receipts, and loan documents
  • The general ledger, chart of accounts, and prior period financial statements
  • Owner and entity information needed to structure the books correctly

We ask for what the work requires and no more. If a document contains material we do not need, tell us and we will work from a redacted version.

7. Health information

DPC Bookkeeper does not provide clinical care and does not need medical records. We do not request, receive, or store clinical notes, diagnoses, lab results, prescriptions, or any other medical record.

Membership platform and payment processor reports sometimes carry a member's name beside a payment amount, because that is how the platform issues the report. Where that happens, we treat the name as confidential client information under the same controls as everything else, we use it only to reconcile the account it belongs to, and we do not store it separately from that financial record.

If your practice requires a Business Associate Agreement before sharing any document, tell us before you send it and we will sort that out first.

8. How we use client information

To do the work you hired us for. Categorizing and reconciling transactions, closing your month, preparing your financial statements, answering your questions, and handing your accountant a file they can file a return from.

We also use it to run our own business in ordinary ways: invoicing you, keeping our records, and improving our internal processes. When we improve a process based on something we learned, we work from the pattern, not from your numbers.

We do not use client information to train external artificial intelligence models, and we do not upload client records to consumer AI tools.

9. Service providers

Bookkeeping is done inside software, so parts of your information necessarily live with the platforms that run that software. We use providers in these categories:

  • Accounting and bookkeeping platforms, which hold your ledger and transaction data
  • Payroll providers, where your practice runs payroll through us
  • Secure document storage, for statements and source documents
  • Practice and workflow management, for our checklists and internal notes
  • Engagement, proposal, and billing systems, for agreements and invoices
  • Scheduling and email, for arranging and holding meetings
  • Website hosting, for this site

Each provider receives only what its function requires, is bound by its own terms and security commitments, and is not permitted to use your information for its own purposes. We will tell you which specific providers hold your data if you ask, and we will tell you before we move your data to a new one.

10. Who else sees it

Your accountant or CPA, when you ask us to send them something or introduce you to one. Your lender or landlord, when you ask us to prepare a package for them. Anyone else you name in writing.

That is the whole list, plus one exception we hope never applies: if we are compelled by valid legal process, we will comply, and we will tell you unless the law forbids it.

We do not sell, rent, trade, or share information about you or your practice with anyone for marketing or advertising purposes. There is no scenario in which we do this.

11. How we protect it

Access is limited to the people who need it to do your work. Accounts that hold client data use multi factor authentication. Documents move through secure storage rather than as email attachments where we can avoid it. Devices are encrypted and passwords are managed rather than reused.

No one can honestly promise a system is unbreakable, and we will not pretend otherwise. If a breach affects your information, we will tell you promptly, tell you what we know, and tell you what we are doing about it.

12. How long we keep things

Client financial records are retained for the period your engagement letter specifies and for as long as professional and legal record keeping obligations require, which is generally seven years for records supporting a filed return.

Prospect information from a call that did not lead to an engagement is kept briefly and deleted on request. Ordinary business correspondence is kept as a normal business record.

When an engagement ends, we will provide your records in a usable format. We do not hold your data hostage.

13. Your choices

You can ask us what we hold about you, ask for a copy, ask us to correct something inaccurate, and ask us to delete what we are not required to keep. Email us and we will handle it. We will not charge you and we will not make it difficult.

Depending on where you live, you may have additional formal rights under state privacy law. We honor those requests regardless of whether a particular law technically applies to us, because arguing about jurisdiction is not a good use of anyone's time.

14. Children

Our services are for businesses. This site is not directed at children and we do not knowingly collect information from anyone under 18.

15. Changes to this policy

If we change how we handle information, we will update this page and change the effective date at the top. If a change is material and affects current clients, we will tell you directly rather than expecting you to notice.
