Your Hint report and your bank don't match because Hint deposits the net, not what your members paid.
If your books start from the bank, your revenue is too low and your fees are invisible. Hint does not send you what your members paid. It sends what is left after fees, refunds, and failed payments, grouped by day, a day or more after the charge. Here is why the numbers drift apart, and how to make them tie.
Five reasons the numbers don't match
1. Deposits land later than charges. Card payouts arrive one business day after the charge on Hint Payments, or two on Stripe if your practice has not moved over. Bank transfers (ACH) take 3 to 5 business days to clear, then up to 48 business hours to reach your account. A charge on the 30th often lands next month.
2. Fees come out before the money lands. Each deposit is your members' payments minus processing fees. Hint's own QuickBooks sync splits every deposit into payments by category and fees, which tells you the deposit is a net number, not your revenue.
3. Refunds and disputes show up in a different deposit. A refund comes out of the deposit on the day it is processed, which may be weeks after the original charge. A disputed payment gets pulled from a deposit while the bank sorts it out.
4. Failed bank payments look paid at first. Hint marks a bank transfer as paid right away, because few of them fail. When one does fail, the money never arrives, a small failed payment fee applies, and Hint may retry the charge in a later period.
5. Your Hint subscription is often billed separately. The monthly fee you pay Hint for the software is often charged to your card, not taken from deposits. Check which setup you have before you go looking for it in your payouts.
The one equation that makes it tie
Every deposit follows the same rule:
What members paid = the deposit + processing fees + refunds + other adjustments
Book the left side as membership revenue. Book fees as an expense. Book refunds against revenue. The deposit then matches your bank to the penny, and your revenue shows what the practice earned, not what survived the trip.
Check your own month in 15 minutes
- In Hint, open Reports, then Deposits. Filter to last month and export to CSV.
- Click into a few deposits to see the payments inside each one.
- Line each deposit up against your bank statement. Hint's discrepancies column flags the usual suspects: failed bank payments, disputes, and refunds landing in another deposit.
- Anything charged in the last few days of the month and not yet in the bank is in transit. It belongs to this month's revenue and next month's bank.
If you use QuickBooks Online
Hint's Deposit Sync posts each deposit to QuickBooks as a journal entry, broken out by charge category and fees, and you match it to the bank line with one click. It needs QuickBooks Online and cash basis books, and it uses the deposit date, not the service date. Sales tax is not included, so that still needs a manual entry. The sync helps. It does not replace a monthly check that Hint, the bank, and your books agree.
Why this matters more for DPC
Your whole business runs on recurring membership revenue. When fees hide inside net deposits, your revenue per member looks lower than it is, and your processing costs never show up for review. Small gaps repeat every month. By year end, your CPA files from numbers that don't match your membership platform, and you can't tell which one is right.
